The deadline for submitting tickets for criteria to include additional records in the purge is tomorrow, January 3, 2020. The Getting Ready for Patron Record Purge webinar was recorded, you can view the Training Recording if you were unable to attend live. SWAN’s 2020 annual patron record purge will take place in January. In order to assist you in your preparation for the purge, we will have a Getting Ready for Patron Record Purge webinar on Wednesday, December 11, at 1:30 pm. We will review the process of the annual record purge and answer your questions. The webinar will also be recorded for those unable to attend.

This year we will also send each library the BLUEcloud Analytics reports listed on the Annual Patron Record Purge page of the SWAN Support Site to assist in the patron record review, they will be delivered in 3 separate emails. The Excel file will be zipped and password protected because they contain patron information. Use the password for your shared library logins to BLUEcloud Analytics to open them.

If after reviewing these reports, you wish to have additional patron records included, please open a ticket by sending an email to help@swanlibraries.net. If we do not receive a ticket by January 3, 2019, your patron records will be purged as outlined in the documentation.

To recap, here are the steps you can take to prepare for the upcoming patron record purge:

  1. Watch the Getting Ready for Patron Record Purge webinar on Wednesday, December 11, at 1:30 pm. It’ll be recorded/posted online if you miss it.
  2. Review the BLUEcloud Analytics report provided to your library, detailing the patron records pending removal.
  3. Submit a ticket to help@swanlibraries.net by January 3rd to request any additional records or criteria for removal.
