Our scheduled database maintenance has concluded successfully!  

All impacted services are back online and available for use. Please login to WorkFlows normally at your earliest convenience and begin work ONLINE Sunday 12/6. Offline is no longer needed. Our normal report schedule will also resume Sunday morning.

We will attempt to process offline transactions periodically throughout Sunday, but you can expect that all offline transactions uploaded will be processed during the Sunday evening maintenance, meaning transactions processed Saturday will be reflected by Monday morning.

Our scheduled database rebuild has begun! The rebuild will extend throughout the day today (Saturday) and into Sunday. You will need to run WorkFlows in Offline Mode until the server is available again.

The SWAN100 project to add the Glenside (GSD), Roselle (ROD), and Warrenville (WVD) Public Library Districts is nearing go-live. Existing SWAN libraries should prepare by reviewing the following schedule, and preparing for the database rebuild and system downtime.


Downtime and use of Offline, Saturday, Dec. 5th and Sunday Dec. 6th

  • Begins at 7 a.m. on Saturday, Dec. 5th.
  • Concludes sometime Sunday, Dec. 6th when SWAN provides "all clear" SWANcom.
  • After seeing "all clear" message, resume work online.
  • All existing 97 SWAN libraries must use WorkFlows Offline Mode during this period.
  • Offline circulation files will be uploaded automatically when reconnecting online.

*Note: If possible, we recommend processing checkouts and preparing hold materials for curbside pickup on Friday, Dec. 4th while the system remains online. This will help to reduce Offline work on the 5th and 6th.


Using Offline

If you’re unfamiliar with WorkFlows Offline mode, SWAN has created several tutorials to walk you through the process. We highly recommend trying Offline mode prior to the rebuild day so that we can answer any questions you may have or provide troubleshooting. The Patron Lookup Tools will also be accessible during the offline period.


Impacted Services

Beginning at 7 a.m. on Dec. 5th and throughout the offline period, the following services will be unavailable:

Enterprise Catalog

  • *Intermittent* My Account functions (holds, payments, lists, etc)
  • *Intermittent* Item location and availability

Symphony WorkFlows

  • *Intermittent* External SIP2 & Web Services integrations (including external vendor subscriptions, digital materials access)
  • Internal SIP2 integrations for library self-checkout, AMH, and PC reservation
  • WorkFlows - Offline mode must be used for all checkouts

BLUEcloud Applications

  • BLUEcloud Analytics December 5/6th transactions - harvest will be delayed an extra day
  • BLUEcloud Mobile, MobileCirc, BLUEcloud Circ and Cataloging will be unavailable


Go-Live timeline

  • November 23, 2020 - Technical Freeze for new libraries
  • November 30-December 6, 2020 - Loading of catalog/item records into SWAN bibliographic database
  • December 5-6, 2020 - Re-indexing of SWAN catalog (existing 97 libraries in offline mode)
  • December 6, 2020 - Patron and circulation data load for new libraries
  • December 7-8, 2020 - Existing 97 SWAN libraries return online, new libraries use Offline mode
  • December 9, 2020 - Go-Live (all libraries online)
