Update 6/29/2022 11:10 AM
We have finished testing EDI ordering with Baker & Taylor, you may now resume your ordering.
We will update this issue today with steps to resend any orders that failed while the Baker & Taylor FTP site was down.

Update 6/29/2022 9:08 AM
We ran the Book X12 Invoice report for all acquisitions libraries except Bloomingdale, that is running now. You should now see all invoices that were retrieved on June 27. If you do not see your invoices please open a ticket by sending an email to help@swanlibraries.net.
Your invoice reports are still suspended because they continue to take about an hour to run because there are hundreds of files trying to load. When we ran the EDI File Retrieval reports for each library they were run without including a vendor name to download files for all of your vendors. Some libraries seem to have stopped using EDI Invoicing without informing the vendor. Midwest Tape in particular appears to rely on the reports to remove files from their FTP site. This is what caused hundreds of files to be downloaded. Once the invoice report is complete we will try to identify the older files for removal to allow the invoice reports to run normally.
--------------------------------------------------------------------------------------------------------------------
Update 6/28/2022 7:40 AM
We have successfully run the EDI File Retrieval reports for all but one Acquisitions libraries that use EDI ordering and invoicing with Baker & Taylor. The Book X12 Invoice reports are taking about an hour to run for each library. We have suspended all invoice reports and are scheduling them around the maintenance reports needed for our daily processes. We have started with the libraries that have July - June fiscal cycles and will continue to run them throughout the day until they have been run for all libraries.
We will update this Known issue soon with instructions about sending your orders to Baker & Taylor through Symphony WorkFlows.

Update 6/27/2022 12:10 PM
Thank you to the libraries that un-suspended your reports. While the updates to the EDI Addresses in your vendor records has resolved one issue with the Baker & Taylor server the reports are still failing. This is the update I sent to B&T today:
"Our member libraries are still not able to send or retrieve files to or from your server.
All attempted orders have failed, the reports are returned with error message “Server cannot accept argument.' at line 137”.
All attempts at retrieving files have also failed, they all receive “there are not files to retrieve” messages.
In addition, we received this note in a ticket from the Indian Prairie Public Library District about their failure to send an FTP order:
A side note on the TS360 website – the carts are no longer updating to “downloaded” status after downloading the MARC record and continue to stay “open.” I will contact Baker & Taylor tech support on this, but thought it might be worth mentioning.
I cannot stress strongly enough how much of a roadblock this is to our libraries completing their ordering. Three libraries that reported they switched their orders to Ingram due to the issue but we have not yet heard back from all of our libraries."
We will continue to update as we receive more information.

Update 6/23/2022 5:20
Although Baker & Taylor reported their file server was now working with some customers our testing has shown:
- One library's order was able to be sent successfully with the EDI File Transmission Report
- One library's order failed to send with the EDI File Transmission Report
- Two libraries with files on the Baker & Taylor ftp site received messages there were no files to retrieve when the EDI File Retrieval reports ran.
Baker & Taylor informed us we need to update the FTP_PASS field in the EDI Addresses tab in their vendor records to NO. We are updating this for all SWAN libraries. Please feel free to un-suspend your reports and let us know whether they are successful.

Update 6/23/2022 11:22 AM
We continue to test with Baker & Taylor as they alert us they have made changes. The tests unfortunately continue to fail. Rudy was able to identify more information while monitoring the reports as we tested. This information was passed on to Baker & Taylor yesterday evening. We are awating word back from Baker & Taylor.

Update 6/22/2022 10:20 AM
We know this is a huge barrier and source of frustration if Baker & Taylor is your major vendor. We are continuing to work with Baker & Taylor in hopes they will be able to resolve their issue soon. Rudy Host has been able able to identify where the EDI File reports are getting errors and failing. We have forwarded the information to Baker & Taylor and will update this issue as we have more information.

Update 6/21/2022 10:45 AM
The issue with the Baker & Taylor ftp server has not been resolved.
If you contacted Tech Support at Baker & Taylor you may have received an email indicating the issue was resolved. The test reports we ran this morning are still failing to connect. We updated Baker & Taylor and are waiting for their reply.
We will continue to update this Known Issue as we receive updates.
--------------------------------------------------------------------------------------------------------------------------------------------
Update 6/20/2022 11:20 AM
Baker & Taylor gave us the following update today:
The issue we are experiencing is due to an outdated firewall on their ftp server. They are replacing the firewall and believe we will be able to send and retrieve files beginning tomorrow, June 21. All files are still on the server.
The following issues remain for us until Baker & Taylor resolves the issue with their server:
-
Libraries will continue to receive paper copies of invoices with orders when delivered but can not retrieve the electronic invoice for loading in Symphony WorkFlows.
- These files are retrieved with the EDI File Retrieval report which is currently failing for Baker & Taylor.
-
Libraries will not be able to send their orders electronically to Baker & Taylor.
- This is accomplished with the EDI File Transmission Report which is currently failing for Baker & Taylor.

Update 6/17/2022 4:00 PM
We heard back from Baker & Taylor, they also sent out the following email today:
To our Title Source 360 Administrators and Selectors:
Earlier this week, during a routine server migration, an issue occurred which has impacted our FTP file order process. At this time, some EDI orders may encounter problems. While we work to rectify this issue, please contact Baker & Taylor Tech Support at http://support.site.baker-taylor.com/ or 1-800-775-3700 option 3 for an alternative process. Thank you for your patience.
We tested the alternative process with two libraries (thank you Amanda (SCD) and Kelli (LSS)!) but it did not resolve the issue. We sent the test results to Baker & Taylor for their continued troubleshooting and will continue to monitor the issue this evening and through the weekend.
------------------------------------------------------------------------------------------------------------------------------------------------------------
Update 6/17/2022 12:15 PM
Baker & Taylor has not yet found a resolution to their issue but are continuing to work on it. We know this is a huge block in your acquisitions process and may be blocking rollover preparations for many of you. We have been trying to get the matter escalated with Baker & Taylor but have not yet heard back from them. We encourage you to open your own case with B&T Tech Support in an effort to show the extent of this issue.
----------------------------------------------------------------------------------------------------------------------------------------------------------------
Update 6/15/2022 5:38 PM
Baker & Taylor is continuing to work on this issue, they will contact us when it has been resolved.
Once the issue has been resolved we will take the following actions:
-
EDI File Transmission
- We will work with all libraries that ran an EDI File Transmission report that failed to load on the Baker & Taylor ftp site.
-
EDI File Retrieval
- The report was not able to "login" to the Baker & Taylor ftp site to retrieve files. No files were deleted on the Baker & Taylor site because of this. All files will be retrieved once Baker & Taylor has resolved this issue and you are able to run your EDI File Retrieval report again.
Feel free to open a help ticket if you have any concerns or questions. help@swanlibraries.net
-----------------------------------------------------------------------------------------------------------------------------------------------------------------------
Baker & Taylor made some changes to their EDIFACT ftp site yesterday, this is now causing our EDI File Retrieval and EDI File Transmission reports to fail when attempting to retrieve or send files. The finished reports are not showing a status of ERROR in Symphony however; you may see errors in the individual report logs such as this:
"Connecting to host ftp.baker-taylor.com Can't use an undefined value as a symbol reference at /usr/local/sirsi/lib/perl5/5.8.8/Net/FTP/dataconn.pm line 53."
We have reported this issue to Baker & Taylor and they are working on a fix. Please refrain from running any EDI File Retrieval or EDI File Transmission reports until further notice.
