As shared in our Fireside Chats and in previous communication, we will be removing all bills for patrons with a last activity date before January 1, 2011 and less that $100 in total bills. This represents 10+ years of inactivity. These patrons have not used library services requiring use of their library card even years before we migrated to SirsiDynix Symphony.
Since the system will not allow patrons with bills on record to be removed, these patron records remain in perpetuity unless removed. Prior annual purge processes have allowed these patron records and bills to linger based on that condition.
Initial clean-up
Starting August 17, 2021, patrons with a last activity date before 1/1/2011 who had bills under $100 in total, will be removed, along with those bills. Any patrons falling into that category will need to re-register for a library card, following library procedures. This ensures any patrons that were juveniles when their records were created can assume responsibility for their own library cards.
What does my library need to do?
No action is required on your part.
Monthly process - starting September 2021
After this initial clean-up is completed, monthly reports will provide a list of patrons inactive for 10 years. Library staff may review the list and reach out to the patron to initiate updating of their information. Updating address information will update the patron's last activity date and make the record active. The following month, patron records not updated will be removed.
What does my library need to do?
- Run the report which will be posted in every library's My Report folder in BLUEcloud Analytics (these reports will be available after we complete the initial clean-up)
