IP Address Whitelisting for eRead Illinois / Axis360

SWAN Member Libraries and Information Technology Staff:

If you’re currently participating in the eRead Illinois/Axis360 program, you’ve likely received an email from RAILS or Baker & Taylor about an IP address change/whitelist needed by January 15th.

In the case of SWAN libraries, the change requested will occur on the SWAN server network, so no further action is required of the individual libraries. Feel free to ignore these emails. SWAN IT staff are currently in contact with Baker & Taylor and expect to have the necessary change in-place and tested prior to the 15th.

Please email us at if you have any questions about the change or encounter any issues on or after the 15th.

*Required* Symphony WorkFlows Upgrade to Symphony by 7/14

EBSCO Discovery Service and OpenAthens Live for Staff

SWAN Libraries—

EBSCO Discovery Service (EDS) and OpenAthens are now live on your Enterprise Development profiles! EDS integrates article search into Enterprise and OpenAthens ties access of these databases to the patron's barcode and PIN without the need for a unique login for each content provider. Before we go live with EDS for patrons, SWAN staff will be sending out testing plans and video tutorials so you can verify EDS/OpenAthens are functioning properly within your library. If you are familiar with how authentication works and would like to test EDS/OpenAthens on your own, the opt-in period for activating EDS for patrons will begin on November 1st. More details will be provided about the opt-in process next week.

The first testing plan should take no more than five minutes. Download the attached document and follow the seven steps (with pictures!) to verify your library's IP address is being whitelisted.

Lastly, on November 21 (time TBD), EBSCO will be presenting an in-depth training webinar covering how to search within EDS, how to customize EDS for your library, and how to utilize OpenAthens as a statistics reporting tool. More details about the webinar will be provided soon.

*Important* Upcoming ILS Upgrade to Symphony on 7/11

SWAN Member Library Staff:

Overnight from Monday 7/11 at 10:00pm to Tuesday 7/12 at 6:00am, SirsiDynix will be upgrading SWAN’s Symphony ILS from version 3.5.0 to This upgrade will require intermittent downtime throughout the overnight hours, and the Enterprise OPAC My Account functions will also be inaccessible during this time. A banner will be posted to the Enterprise homepage to notify patrons.

** Service Restored ** Symphony Down 6/29/15

12:15 PM

Service has been restored and you may resume regular circulation using Symphony Workflows.

Please log out of Workflows offline mode and log back into Workflows, being sure to uncheck “operate in offline mode” and using your regular credentials. Your offline files will upload to the server automatically, and SWAN will process them centrally.

Additional maintenance will take place this evening after library operating hours, and an update will be sent when that work is complete.

Migration Memo #19 SIP2 & 3rd Party Vendor Integration

Please see the linked Migration Memo #19: “SIP2 and 3rd Party Vendor Integration”, and route to your appropriate library and IT staff. The document is primarily to be used for reference by your designated technical staff. It details the actions to be taken by associated library vendors through the offline period and at go-live, and how your library might be affected during this transition.

SWAN Migration Memo #12: SirsiDynix WorkFlows 3.5GA Installer

***Action Required by March 31st***

SWAN WorkFlows 3.5GA is now available for all member libraries. This is the final client to be released in preparation for go-live. This mandatory installation must be installed on all library computers currently running Millennium clients.

Please ensure that your library completes this installation by Tuesday, March 31st.

For additional information, please see SWAN Migration Memo #12: SirsiDynix WorkFlows 3.5GA

After the installation at your library is complete, please be sure to submit a Readiness Report so that we are able to track progress of the final installations. The completion status of your library can be found by clicking "Read more" below.

SWAN Migration Memo #7: SirsiDynix WorkFlows 3.5 beta client installer

SWAN is excited to release the much-anticipated preview of the SirsiDynix WorkFlows 3.5 client. This client is a beta version of the installer that will be available to your libraries within the upcoming months, and can be installed for testing, training, and demonstration on any SWAN library staff workstation computers.

For additional information, please see SWAN Migration Memo #7: SWAN WorkFlows 3.5b Installer. Also, be sure to visit the Software Downloads section of our website for the client download and related installation instructions.

Corresponding system logins for testing are in the final preparation phases and we anticipate they should be ready by Monday, February 9th. A memo with further details will be released alongside those logins.

**UPDATE 2/6** Issues with the WorkFlows test server are now resolved. The server is available for use.

**UPDATE 2/4** We're currently experiencing some connectivity issues with the test server listed in the documentation. We anticipate these issues will be resolved by the release of the test server logins early next week, if not later on today. In the meantime, you can test your installation and connection using the Production server address instead.

**Concluded** SWAN SonicWall Planned Maintenance

This morning between 5:30 and 6am, we performed maintenance on our primary SonicWall firewalls that had resulted in some brief expected downtime.

Our systems are currently back online, but we recommend that you double-check some of your 3rd party hardware and services (such as self-checks, AMH, or e-commerce systems) to ensure the brief interruption did not cause a disconnect from the ILS.

*Action Required*: SWAN Hardware and Peripherals Survey

With the contracts for our new ILS signed and the introductions completed, SWAN staff have started full speed ahead into the ILS migration project. Our first order of business is to inventory and catalog various aspects of our libraries to ensure a smooth transition later down the road. That being the case, we need your help!

In the upcoming months, SWAN will be seeking your input to accurately inventory your vendor hardware, services, and policies that integrate with the ILS. Similar to the Network Migration Project, SWAN staff will use this information to ensure our vendors are prepared for the ILS migration and that any specific configuration settings are in-place long before the go-live.

Our first inquiry in this matter is in the form of the survey below...

SWAN Hardware and Peripherals Survey

Please provide responses as accurately as possible. To ensure timely responses, we request that one survey for each library is submitted by the deadline of Friday, July 18th, 2014.

You can check to see if your library has responded by clicking "Read more" below...
