SWAN is planning a Symphony database rebuild on Sunday, April 17th 2022 to accommodate our annual system maintenance.
The database rebuild will begin the evening of Saturday, April 16th at 9:00 p.m., and will extend throughout the day on Sunday, April 17th. During the rebuild, many SWAN services will be unavailable, requiring the use of WorkFlows in Offline mode to maintain checkout functions. The outage will also intermittently impact access to the Aspen catalog; a banner will be posted to Aspen to inform our patrons.
We’ll send additional SWANcom and support site post updates, so please watch your SWANcoms.

Downtime and use of Offline, Sunday, April 17
- Begins at 9 p.m. on Saturday, Apr. 16th.
- All open SWAN member libraries must use WorkFlows Offline Mode during this period.
- Concludes the evening of Sunday, Apr 17th when SWAN provides "all clear" via SWANcom.
- After seeing "all clear" message, resume work online.
- Offline circulation files will be uploaded automatically when reconnecting online and are processed with overnight maintenance.
Impacted Services
Beginning at 9:00 p.m. on Saturday, 4/16, the following services will be inaccessible throughout the database rebuild:
Aspen, SWAN Libraries App & Enterprise Catalog
- *Intermittent* My Account functions (holds, payments, lists, etc) will be unavailable at times
- *Intermittent* Item availability and locations will be inaccurate at times
- Bibliographic record updates from 4/16 may not be reflected until 4/18
Symphony WorkFlows
- *Intermittent* External SIP2 & Web Services integrations (including external vendor subscriptions, digital materials access)
- Internal SIP2 integrations for library self-checkout, AMH, and PC reservation will be unavailable
- WorkFlows - Offline mode must be used for all checkouts
BLUEcloud Applications
- BLUEcloud Analytics April 16/17th transactions - harvest will be delayed an extra day
- BLUEcloud MobileStaff, Circ, Acq, and Cataloging will be unavailable
Using Offline
If you’re unfamiliar with WorkFlows Offline mode, We've created several tutorials to walk you through the process. We highly recommend trying Offline mode prior to the rebuild day so that we can answer any questions you may have or provide troubleshooting. The Patron Lookup Tool will also be accessible during the offline period.
