User Configuration

Users records (patrons) are critical in defining who will be allowed to circulate what material and place holds. User Profiles establish the general populations of users served by each SWAN library and drive circulation and hold rules. User Categories further define demographics which enable reporting and statistics.

User categories

User Category 1- Gender

  • Identifies the gender of the patron. Options include: MALE, FEMALE, SELFID.
  • Many libraries do not collect this information. And, if your library would like to remove this information from your existing patron records, submit a help ticket.

User Category 2- Age Group

  • Identifies the age group of the patron. Options include: ADULT, JUVENILE, PRESCHOOL, TEEN, SENIOR.

User Category 3- Type

  • Identifies the "type" of user account. Some options include: BOOKDISC, BUSINESS, CARDS4KIDS, HOMEBOUND, NONRESDENT, TEACHER, TRUSTEE, VETERAN_NF, VOLUNTEER.

User Category 4- Internet

  • Identifies internet privileges for the patron, Options include: INTERNET_Y, INTERNET_N or another library-defined code used for 3rd party SIP2 integration.

User Category 5- Grade Level

  • Identifies the grade level of the patron. Options include: FRESHMAN, SOPHOMORE, JUNIOR, SENIOR.
  • Rarely used, to be retired/reused for K-12 purposes.

User Category 6- NCOA

  • Contains NCOA notes maintained by SWAN.

User Category 7- ILL

  • Used for OCLC/ALA/SHARE statistics.

User Category 8- Non-SWAN RB

  • Identifies the home library for non-SWAN RBs. Lists non-SWAN libraries by name. Only used for non-SWAN reciprocal borrower user records. Do not set for SWAN patrons.

User Category 9- Library Defined

  • Various library-defined fields for more granular statistical purposes.  Options include geographical location and narrower age groups. Includes data migrated from III Millennium.

User Category 10- Notice Preference

  • Identifies the way a patron prefers to receive notices. This field drives many of our scheduled Notice reports. Options include: EMAIL, PHONE, or TEXT.
  • NOTE: as of July 2021, the preference of PRINTED is deprecated and will not be used in the future.

User Category 11- Hold Pickup Preference

  • Used for libraries that have a Drive- up window. It provides a means to identify the patron's pickup preference. Options include: BOOK_DISC, CURBSIDE, DESK, DRIVEUP, HOME_DEL, LOCKERS, OPEN, OUTREACH, and XPRESS_CKO.

  • Not used
