Shelving Key Maintenance for Serials

Each call number has a corresponding shelving key, an internal key used for sorting. When necessary, shelving keys may be modified to correct call number sorting in the item tree. This is particularly useful for serials.

Configure Wizards to display shelving keys

Shelving keys may not display by default for your library. You can display shelving keys by modifying specific Wizard Properties.

  1. Right-click on the Wizard to modify and select Properties.

  2. Locate the show shelving key setting in the Defaults tab to make modifications.

Modifying shelving keys

Serial call numbers should sort by descending chronological order. Sometimes, a complicated serial publication pattern can create call numbers that sort out of order. To correct this, modify the shelving keys so chronology precedes enumeration.

Example

This serial's series of call numbers are sorting out of order. ISS.1 2022 (A) should list first in reverse chronological order, but ISS.6 2021 (B) is displaying first, because the call number tree is sorting by enumeration first instead of chronology. Each shelving key must be modified to correct the sort.

  1. Open the Call Number and Item Maintenance Wizard.
  2. Select each call number to be modified in the Call Number/Item record tree and locate the shelving key.

Shelving keys appear similar to the call number, but each space, character, or digit in a shelving key is important for sorting. Modify as little as possible to avoid negatively impacting the sort.
For example, the base call number (PERIODICAL) displays in the shelving key as (PER IODICAL). This is not a mistake and should not be changed.

  1. Select the chronology - in this case, 002022. Cut (Ctrl + X) the chronology string.

  2. Paste (Ctrl + V) the string you cut after the base call number and before the enumeration.

Make certain there is one space after the base call number and one space before the enumeration.

  1. Click Save. Modify each call number in this way to ensure they sort properly.
  2. The call numbers will now sort in the correct reverse chronological order. You may need to refresh your screen to see this take effect.
