020, 022, 024, 028 - ISBN, ISSN, UPC, Publisher Numbers
While SWAN retains most standard numbers on a record, there are certain types of numbers and corresponding information that must be deleted.
Subfield |c - Price
Remove subfield |c price information in full-level cataloging. Price information in a bibliographic record may conflict with item price information and mislead patrons.
Subfield |z - Invalid ISBNs
Most invalid ISBNs should be deleted unless they appear on the item in hand. Exceptions include:
- ISBNs that appear on the item yet have a check character error
- ISBNs for titles published separately that are included in the record in question (eg. a book is published independently but is included in a library-made read-along kit)

ISBNs Requiring a New Record
ISBNs that represent manifestations that would require a new record should always be removed. For example, never include large print, mass market paperback, braille, ebook, or audiobook ISBNs on a record for a standard-print title, even if those ISBNs contain the |z labeling them as invalid.
245 - Title Statement
Subfield |h - Medium
This field should be removed removed.
SWAN does not retain the GMD. Do not use |h in the 245 field of bibliographic records.
6xx Fields - Subject/Genre Headings
Inclusion of 6xx fields is governed by vocabulary. It is easiest to discuss these according to their indicator values.
6xx _3, 6xx _4, 6xx_5, 6xx_6
These fields are automatically removed.
SWAN does not retain terms from these vocabularies. Bibliographic load reports are configured to automatically remove these fields from incoming records.
6xx _7
These fields are decided based on the source indicated in subfield |2. SWAN practice is to remove the following sources:
- |2 bisacsh
- |2 fast
- |2 sears
- |2 rvmgf
These fields are removed nightly by an automated report.
Non-English Headings
After some consideration, SWAN library cataloging staff have opted to retain foreign-language subject headings in select cases. Retain these headings only when the language of the heading matches the language of the material itself. You may also consider available subtitle languages when making this choice.
If the language does not match, please remove these headings.
856 - Electronic Location and Access
This field may be retained in select situations, but most of the time it should be removed. Please remove the following types of 856 fields:
- Fields linking to electronic versions of a resource. This includes content your library may provide access to through Overdrive, Axis360, Hoopla, Cloud Library, and others.
- Leaving these links will cause the record to not appear in Aspen
- Fields presenting information redundant to the bibliographic record. Links to:
- Tables of contents
- Abstracts and summaries
- Cover images
The following 856 fields may be retained, but we recommend deleting:
- Fields linking to supplementary materials accompanying the physical resource.
