Item Types

Item Type determines how item records circulate in the ILS. This includes hold rules and loan rules. Due to the size of the SWAN consortium and the diversity of needs among our membership, this vocabulary is quite large. To prevent it from growing too unwieldy, we request that libraries choose existing values for Item Type whenever possible.

When to request a new Item Type

Item Types do not need to be used in the same way across all libraries. Their primary function is to define circulation and hold rules. They are not displayed to the public or searchable in the catalog. If your library needs to start using a new Item Type, please consult the existing vocabulary for a potential candidate. 

If your library feels they need a new Item Type value created, you may submit a ticket to SWAN. We will evaluate the request and determine if the new value should be created or if an existing Item Type can satisfy the library's needs.

Item Type vs. Item Category 1

Both Item Type and Item Category 1 can be used to label the format of an item, but it is important to understand the distinction between these two fields.

Item Type affects holds and loan rules, while Item Category 1 does not.

Item Types are more granular, while Item Category 1 is more broad. Although SWAN does not dictate what values you select, there is usually only one "correct" option based on the item.

Both fields can be used for reporting purposes and may be valuable in different ways. Item Category 1 is used for IPLAR reporting.

Both fields are required.

Best Practices

  • Use as few Item Types as possible needed to drive circulation and hold rules
  • "SPEC" or "SP" Item Types should only be used for non-holdable materials
  • Audience-level or format information should be defined in their relevant item categories, not in the Item Type, unless a circulation or hold rule is required
