Every SWAN fully cataloged record requires a minimum of one authorized Library of Congress subject heading.
Subject headings from a vocabulary other than the Library of Congress Subject Headings do not count towards this minimum requirement and may require deletion. Please see the Fields to Delete document.
Corporate and personal name headings do not need to be authorized for use in a 6xx field if the entity has not yet been established.
Another exception to the authorization requirement is musical subject headings wherein specific instrumentation combinations may not be established in the subject vocabulary. These may still be used if the subject heading is properly formed.
Although SWAN requires only one heading, we encourage the use of as many headings as needed to fully describe an item. Most cataloged materials will have more than one subject heading.
Non-English materials
In addition to at least one authorized Library of Congress subject heading, SWAN requires a language subject heading for materials that do not have a primary language of English, with the exception of musical sound recordings and videos.
655 Field
SWAN records for fiction and audiovisual materials require a minimum of one 655 field containing an authorized genre term from the Library of Congress Genre/Form Terms (LCGFT) vocabulary. As with subject headings, we encourage the use of as many genre terms as necessary to fully describe your materials.
The SWAN catalog also accepts Guidelines on Subject Access to Individual Works of Fiction, Drama, Etc. (GSAFD) terms, although these undergo conversion after import.
