Combo Packs

Please follow these policies for DVD/Blu-Ray combo packs in order to improve the patron's experience in search and holds placement. Guidelines follow for all combo packs with instruction based on whether your library splits these packs or keeps the discs together.

Scope

The following applies only to Blu-ray/DVD combo packs. Combo packs containing 4K or other formats are not currently addressed in the SWAN documentation or cataloging standards.

SWAN does not recommend splitting 4K/Blu-ray combo packs instead cataloging these as Blu-rays. 4K/Blu-ray/DVD triple packs can be split, but we recommend circulating the 4K and Blu-ray together and separating only the DVD.

Blu-ray/DVD combo packs 

It is your library's decision whether you circulate Blu-ray/DVD combo packs together or separately, but please be careful with bibliographic records. Each Blu-ray/DVD combo pack may have as many as three matching records: 

            1. Combo pack record

            2. DVD-only record

            3. Blu-ray only record

Please examine the 300 (Physical Description) and 500 (Notes) fields of existing bibliographic records to ensure you are adding your holdings to the correct record(s). If you are separating combo packs, you may have to add two pre-cat records. 

Members using Acquisitions should be especially careful with combo packs. If you plan to separate these on arrival, you may need to adjust your holdings accordingly. 

Circulating together

Keeping Blu-ray/DVD combo packs together means that an existing OCLC record may exist for your record. Catalog according to standard rules, making sure that the following fields follow SWAN's local practices:

590 COMBO PACK This is a unique 590 format term used only for Blu-ray/DVD combo packs.

Circulating separately  

If there is no record in the SWAN database for the component parts, you may need to export a new OCLC record or create a new pre-cat record for the DVD and Blu-ray split from the combo pack. 

Never duplicate a combo pack record to use for the DVD or Blu-ray component parts if it has been cataloged (it has an OCLC number in the 001 tag). You may duplicate pre-cats and do the necessary edits.  

Use the following cataloging conventions:

DVD record

Combining split discs with standalone Blu-ray or DVD records 

If a separated combo pack item has all the same features and specifications as a published Blu-ray or DVD, you may opt to add the combo pack disc to a record for that Blu-Ray or DVD. The Blu-Ray or DVD record gets precedence, though you may optionally add a 591 internal note saying 'May contain discs split from combo pack record {Title Control Number}' as well as the combo pack UPC in a 024 field preceded by a subfield |z.

Recommendations for splitting combo packs

If you use the Acquisitions module and opt to split your combo packs, SWAN recommends reflecting this in the database as soon as possible after ordering. The bibliographic record you receive from the vendor will reflect the combo pack, and any item attached may start to collect holds. To prevent your patrons from attaching holds to a record you will later not be using, we encourage you to move the item to a new Blu-ray only record, and also creating an item on a DVD-only record. 

You may use the Duplicate Title wizard to easily create Blu-ray only and DVD-only records from the original Combo Pack record, but please make the necessary changes outlined above, and never use the Duplicate Title wizard to duplicate a full record.
