Missing Item Removal

Using Symphony’s item discard tools, SWAN automatically removes items that are missing or that patrons claim to have returned. This process is similar to our process for removing items charged to your DISCARD users, but in this case, the reports automatically select items to remove.

Convert DISCARD

On the 19th of every month, a series of Convert DISCARD reports will run against all items charged to the following users:

  • All library’s MISSING users (MISSING[XXX])
  • All library’s CLAIMSRETD users (CLAIMSRETD[XXX])
  • MISSTRNSIT
  • MISSHLDSHLF

This report will select any items with a Date Last Charged of 12 months or more in the past. Items that meet this criteria are discharged and assigned a Current Location of DISCARD. Items in the DISCARD location are shadowed from view on the public catalog.

Remove DISCARD

Immediately following these Convert DISCARD reports, a Remove DISCARD report will run to remove the recently-converted items from the system. Items may not immediately disappear if there are open orders, holds, or serial control records associated with the bibliographic record. Future Remove DISCARD reports will continue to attempt to delete these items until the process is successful.
