Examples
To aid in explaining the following guidelines, we will use three examples and show how elements of each record will look. The three titles are as follows:
- Falcon Guides Best Easy Day Hikes Seattle
- Lonely Planet Best Road Trips France
- National Geographic Complete National Parks of the United States
24x fields
245
Regardless of whether there is an authorized series heading or not, the 245 should include publisher or series information. The examples above will have |a of the 245 fields as follows:
- 245 1 0 Falcon Guides best easy day hikes Seattle
- 245 1 0 Lonely Planet best road trips France
- 246 1 0 National Geographic complete national parks of the United States
246
In addition to any alternative titles you may want to include based on the contents of the title and subtitle, travel guides will now also include a "246 3_ [location highlighted in the guide]."
Our three examples are as follows:
- 246 3 _ Seattle
- 246 3 _ France
- 246 3 _ United States
490 field
The 490 field should be used regardless of whether there is an authorized heading.
If there is an authorized heading, fill the 490 _1 field out as the series appears on the item, which may not match the authorized heading.
If there is not an authorized heading, fill the 490 _0 field out as the series appears on the item.
Our three examples are as follows:
- 490 _1 Falcon Guides best easy day hikes
- 490 _1 Lonely Planet best road trips
- 490 _0 National Geographic complete national parks of
8xx fields
The 8xx field will contain the authorized heading as it is set up in its authority record. This may not exactly match what is on the item in-hand, but that is okay.
- 830 _0 Best easy day hikes series.
- 830 _0 Lonely Planet road trip.
- -- No 8xx Field --
Sometimes there are multiple series titles that seem like they could be correct, but there should only be one authorized 8xx field applied to each travel guide. The examples we used above were specifically chosen to help assess these situations.
Example 1: Specific vs. broad series headings
With the first item we used throughout this documentation, a search of authorized series can lead you to the following potential authorized series:
- Best easy day hikes series.
- Falcon guide.
With this example, you would select the Best easy day hikes series authorized heading. Looking at this authority record, the 643 field (Series Publication Information) lists Falcon as the publisher. In this instance, including the Falcon Guide is not only redundant, it also artificially inflates the number of books in the general Falcon guide series.
Example 2: Series with no specific authorized headings
Our second example is Lonely Planet best road trips France. A search of authorized series can lead you to the following authorized series:
- Lonely Planet road trip.
- Best trips.
- Lonely Planet guidebooks.
None of the authorized headings match the full series title as it appears on the book in-hand. Further investigation also shows that none of them have a 430 field or other content in the authority file that would point to a name change that closer matches our item. Looking at the publisher website, they have a variety of "Best trips" series that are not necessarily road trips. Because of that, we used cataloger's judgment to select Lonely Planet road trip.
Another great way to be consistent in selection of authorized series headings is to look at previously cataloged items in the series. Prior to these guidelines, it was not uncommon for multiple 8xx fields to be used. If you find the previous edition of the book you are cataloging contains multiple, please use these guidelines and your own cataloger's judgement to select the heading that best matches the item.
