500 Field - General Note

The 500 General Note field displays in Aspen catalog and it is used for a variety of miscellaneous purposes, when the information does not "fit" into any of the other MARC tags. There are a few cases wherein SWAN requires the use of a 500 note. 

To enter a general note that does not display in Aspen catalog, use a 591 field. 

Board books

Use the following 500 note for all board books:

500    On board pages.

Translations

For works in translation where the translated language differs from the original, provide a note referring to the original title.

500    Translation of: Much ado about nothing.

Combo packs

SWAN has some requirements regarding Blu-ray/DVD combo packs. See Combo Packs for more information.

504 Field - Bibliography, Etc. Note

This field indicates if the item has bibliographical references and/or index. It is acceptable if the record contains this information in a 500 General Note field instead.

If bibliographical references and index are present on the item, make sure the fixed field reflects that information with a "b" in the Cont field and a "1" in the Indx field.

505 Field - Formatted Contents Note

SWAN prefers the use of formatted contents notes to provide title access through title searching. Unformatted contents notes are only accessible using general keyword searching.

Provide contents notes for audio discs, songbooks, short story collections, essay collections, and other collected works.

Contents notes are not required for poetry or for tables of contents that simply provide chapter names within a single work.

Example 1: 

Formatted Notes with basic contents. First indicator zero, second indicator blank.

|t = title, space, double dash immediately followed by the next subfield |t.

Example 2: 

Formatted Notes with enhanced contents. Both indicators zero.

|t = title immediately followed by subfield |g and the duration between parenthesis, space, double dash.

Example 3:

Formatted Notes with enhanced contents. Both indicators zero. 

|t = title, space, forward slash immediately followed by subfield |r with the author's name in direct order, space, double dash, immediately followed by the next subfield |t.

508 Field - Creation/Production 
Credits; & Note

Enter persons or organizations, other than members of the cast, who have participated in the creation and/or production of the work. For example, directors, producers, photographers, costume designers, and others. 

508 __ Director of photography, Mauro Fiore ; production designer, Rick Carter; senior visual effects supervisor, Joe Letteri ; animation supervisor, Richard Baneham.

511 Field - Participant of Performer

Enter narrators, performers, and presenters. First indicator "1." It is common practice to add introductory phrases such as "narrated by...," "presented by...".

Example 1: 

511 1_ Sam Worthington, Zoë Saldana, Michelle Rodriguez.

Example 2:

511 1_ Narrated by Saskia Maarleveld and Grace Experience.

520 Field - Summary

Summary fields are required only for fiction materials and recommended for other materials at the discretion of the cataloger. Summaries may be sourced from the item itself or an outside source such as a vendor or publisher.

This could be a summary, abstract, annotation, review, or only a phrase describing the material.

For collections and box sets, you may provide multiple summaries in separate 520 fields if each is clearly labeled with the title being summarized.

533 Field - Reproduction Note

Commonly used for government document records, microfilm and microfiche. It can be granular with identifying the place of reproduction, the date, the agency responsible for reproduction, and physical description of reproduction. 

Enter the type of reproduction in subfield |a, place of reproduction in subfield |b, agency in subfield |c, date of reproduction in subfield |d, and physical description of reproduction in subfield |e.   

Example: 

533 __ Microfiche.|bSpringfield, Ill. :|cSecretary of State, Micrographics Division,|d1991.|e5 microfiches ; 11 x 15 cm.

538 Field - System Details Note

Enter technical information about an item, such as absence or presence of certain codes, physical characteristics of a computer file, system requirements, audio, resolution, regions, and playback information. 

Example 1: 

538 __ Blu-ray, wide screen; requires Blu-ray player.

Example 2: 

538 __ DVD, region 1; wide screen; 5.1 Dolby Audio.

546 Field - Language Note

590 Field - Format Field

Required for every record, except for standard-print books.
